OnePay Tracking Systems Limited (“OnePay”, “we”, “our”) is a company incorporated in Kenya providing GPS tracking, fleet management, and related telematics services. Our registered offices are at Adlife Plaza, Kirichwa Road, Kilimani, Nairobi.

2. Information We Collect

We collect the following categories of personal data:

• Account data: Name, email address, phone number, company name when you register or request a quote.
• Vehicle & location data: Real-time GPS coordinates, trip history, speed, and engine status from installed trackers.
• Usage data: Pages visited on our website, browser type, IP address (anonymised), and referral source via cookies.
• Communication data: Messages sent through our contact form, email, or WhatsApp.

3. How We Use Your Data

• To provide and operate the GPS tracking service under your subscription.
• To send service alerts, reports, and maintenance reminders.
• To respond to enquiries and support requests.
• To improve our website and services through anonymised analytics.
• To comply with KRA ECTS regulations and other legal obligations.

We do not sell your personal data to third parties.

4. Legal Basis for Processing

We rely on contract performance for service delivery, legitimate interest for analytics and security, legal obligation for KRA compliance, and consent for non-essential cookies and marketing communications.

5. Data Sharing

We share data only with:

• Platform sub-processors (e.g., cloud hosting, mapping APIs) under strict data processing agreements.
• Kenya Revenue Authority (KRA) where required by ECTS regulations.
• Law enforcement when legally compelled by a court order.

6. Data Retention

Trip history and location data is retained for 12 months by default and can be configured per account. Account data is retained for the duration of the subscription plus 3 years for accounting/legal purposes. You may request earlier deletion (see Section 8).

Our website uses strictly necessary cookies for session management and optional analytics cookies (only loaded with your consent). You can change your cookie preferences at any time by clicking “Cookie Preferences” in the footer.

8. Your Rights

Under the Kenya Data Protection Act 2019, you have the right to:
